What You’ll Do
Compiles, classifies, records, verifies, and maintains data and payments to accounts payable records by performing the following duties.
Responsibilities Include
- Responsible for payment of bank bills, employee expense reports.
- Ensures payment of requests for conferences, seminars and outside training classes.
- Reviews and posts receipts and payments to appropriate ledgers, spreadsheets, records, and databases.
- Prepares, sorts, copies, files, and mails invoices, receipts, checks, correspondence, and other requested items.
- Audits invoices against purchase orders, research discrepancies, and approves them for payment.
- Prepares accounts payable checks.
- Investigates problems that vendors or branches/departments have with obtaining payment for bills.
- Answers accounts payable inquiries and follows up.
- Issues and tracks W-9’s for all A/P vendors who are outside contractors, sole proprietors, partnerships, or real estate/property management companies. Responsible for monitoring, adjusting and maintaining 1099-Misc. information and year-end reporting on these vendors.
- Regularly reconciles related general ledger accounts
- Assists in tracking and accumulating invoices for placing fixed assets into service and setting up fixed assets in the Bank’s fixed asset accounting system.
- Analyzes vendor accounts.
- Prepares analysis and summaries of accounts.
- Monitors accounts payable and receivable to ensure payments are accurate and timely.
- Assist in monthly and annual closings.
- Prepares all invoices for document imaging.
- Completes State of California EDD Reporting weekly for all sole proprietors.
- Inputs all Pre-Paid invoices.
- Comply with all applicable Banking compliance rules and regulations established by both internal departments and external agencies.

- Reasoning ability – ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form; ability to deal with problems involving several concrete variables in standardized situations
- Computer skills – an individual should have knowledge of MS Excel Spreadsheet software and MS Word, Word Processing software
- Compliance -- consistently adhere to Bank policies and regulations, reinforce training to ensure that bank employees are aware of UDAAP and do not harm consumers with any act that could be misleading, unfair, deceptive, or abusive in act or practice
Qualifications
- High School Diploma or GED;
- Associate's degree (A. A.) or equivalent from two-year college or technical school preferred; or
- Six months to one-year related experience and/or training; or
- Equivalent combination of education and experience.

Pay Range (Hourly): $20.00 -- $24.00
